Information We Collect
We collect various types of information from you in order to provide our services effectively. This includes both personal information (which can identify you) and non-personal information. The types of data we may collect include:
- Contact Information: Your name, email address, phone number, and postal address when you fill in forms on our site or communicate with us.
- Business Information: Your company or business name, and other business details you might provide (for example, your industry or role, if relevant to our services).
- Account Credentials: If you register for an account or membership on our platform (such as our training or course portals), we collect login information like username and password.
- Communication Data: Any personal data you provide when contacting us (for example, the contents of emails you send us, feedback you give, or information you share during support inquiries).
- Payment Information: If you make a purchase or payment through our site, payment details (such as credit/debit card numbers or PayPal account information) are collected directly by our third-party payment processors Stripe or PayPal. We do not store your card numbers or bank account details. We may receive limited information about the transaction from Stripe or PayPal (such as your billing address, the last four digits of your card, the transaction ID, and payment amount) for order records.
- Technical and Usage Data: When you use our websites, we automatically collect data about your device and how you interact with our site. This can include your IP address, browser type and version, device type, operating system, timestamps of visits, pages viewed, and the links you click on our site.
- Cookies and Tracking: We use cookies and similar tracking technologies to collect information about your browsing actions and preferences over time. Cookies help us recognise you and customise your experience. They also provide analytics data (through tools like Google Analytics) about how visitors use our site. (See Cookies and Analytics below for more details.)
We collect most of this information directly from you – for example, when you fill out a form to subscribe to our newsletter, sign up for a free training, comment on our blog, or make a purchase. Some data (especially Technical and Usage Data) is collected automatically as you navigate our site via cookies and analytics tools.
We do not intentionally collect any sensitive personal data (such as information about health, race, religion, or political opinions) as these are not relevant to our services. We also do not knowingly collect data from children (see Children’s Privacy below).
How We Use Your Information
We use your personal data for the following purposes, in accordance with relevant laws:
- To Provide Services and Information: We use your details to deliver the products, services, or information you have requested. For example, if you sign up for a training course or download, we’ll use your email to send you the material, and your name to personalise the communication.
- To Manage Your Account or Membership: If you create an account on our site or enrol in one of our programmes, we use your information to set up and maintain your account, provide you with login access, and track your progress in the programme.
- To Communicate with You: We may use your contact details to send important notices and updates, such as confirmations of purchases, changes to our terms, or customer support responses. We also use your email address to respond when you contact us with a question or request.
- For Marketing and Newsletters: With your consent (or as otherwise permitted by law), we will use your email address to send you newsletters, free training updates, marketing insights, or promotional offers that we believe may be useful to you. You can opt out of these marketing communications at any time by clicking the unsubscribe link in the email or contacting us.
- To Process Payments and Orders: We use information related to your transactions to process payments, provide you with invoices or receipts, and ensure your orders (for example, course enrollments or event tickets) are fulfilled. (Note: We rely on secure third-party payment providers for handling credit card and PayPal transactions – see Stripe and PayPal in the Third-Party section below.)
- To Improve Our Services and Website: We analyse how users interact with our websites and content (using tools like Google Analytics) to understand what is working and what can be improved. This helps us enhance our offerings, develop new features, and improve the user experience on our sites. Any analytics are done on an aggregated basis and are not used to identify individual users.
- To Personalise User Experience: We may use cookies and data about your previous interactions to tailor the website experience to you – for example, by remembering your preferences or showing you content that is relevant to your interests.
- To Ensure Security and Prevent Fraud: We process data (such as IP addresses and activity logs) to keep our websites, platforms, and users safe. This includes using data to detect and prevent fraudulent transactions, spam, unauthorised access, or other abuses of our services.
- To Comply with Legal Obligations: In some cases, we need to process and retain your information to comply with laws and regulations. For instance, we may keep transaction records to satisfy accounting and tax requirements, or use your data to fulfil obligations relating to consumer rights or data protection requests.
- For Internal Record-Keeping: We may use personal data to maintain our internal records, such as keeping track of user inquiries, consent records, or service agreements. This helps us operate our business efficiently and demonstrate compliance with our legal responsibilities.
We will only use your personal information for the purposes we have stated. If we need to use it for a different purpose that is not compatible with the original reason it was collected, we will notify you and explain the legal basis that allows us to do so.
Legal Bases for Processing Data
Under the UK GDPR, we must have a valid “lawful basis” to process your personal data. Depending on the context, we rely on one or more of the following legal bases:
- Consent: We will ask for your consent to use your information in certain situations – for example, when you subscribe to our email newsletter or when we place non-essential cookies (like analytics cookies) on your device. Where we rely on consent, you have the right to withdraw your consent at any time. For instance, you can unsubscribe from marketing emails by clicking the link in the email or contacting us.
- Contract: We process your data when it is necessary to perform a contract with you, or to take steps at your request before entering into a contract. For example, when you purchase a product or enroll in a course, we need to use your personal details to process the payment and deliver the service you paid for.
- Legal Obligation: If we are required to process your data to comply with a law or legal obligation, we will do so. For example, we may need to keep records of sales for tax purposes or provide information if required by a court order or regulatory authority.
- Legitimate Interests: We may process your data as needed for our legitimate interests, provided that those interests are not overridden by your own rights and interests. This means we have a business or organisational reason to use your data, but we must do so in a way that does not unfairly impact your privacy. For example, it is in our legitimate interest to understand how our customers use our website so we can improve it, to send marketing to existing customers about similar services, or to prevent fraud and ensure security. When we rely on legitimate interests, we always consider and balance any potential impact on you (both positive and negative) and your rights under data protection laws.
If you have questions about the legal basis for any specific processing of your personal data, feel free to contact us for more information.
Cookies and Analytics
Our websites use cookies and similar technologies to enhance your experience and gather analytics data:
Cookies are small text files placed on your device when you visit a website. They allow the site to recognise your device and remember certain information about your visit (such as your preferences or whether you’re logged in). We use the following types of cookies on our sites:
- Essential Cookies: These are necessary for the website to function properly. For example, if our site has a login area or a shopping cart, essential cookies enable those features.
- Analytics Cookies: We use these to understand how visitors use our site so we can improve it. For instance, we use Google Analytics cookies to collect information on things like which pages are visited, how long users stay, and what links they click. This data is aggregated and does not directly identify individual visitors. We have configured Google Analytics to anonymise IP addresses, so your full IP is not stored.
- Functional Cookies: These cookies remember your choices and preferences, which helps us personalise your experience (for example, by remembering that you’ve already seen a particular message so we don’t show it again).
When you first visit our website, you may see a cookie consent banner allowing you to accept or reject non-essential cookies. You can always change your cookie preferences by adjusting your browser settings to refuse cookies or to alert you when cookies are being set. Please note that if you disable certain cookies, some features of our site (like login areas or video players) may not function correctly.
Google Analytics: We use Google Analytics, a web analytics service provided by Google, Inc., to collect information about how users use our sites. Google Analytics uses cookies and similar technologies to gather usage data as described above. The information generated by these cookies (which may include a truncated IP address, browser type, and pages visited) is transmitted to Google’s servers (which may be outside the UK/EEA, e.g. in the United States). Google uses this information on our behalf to evaluate website usage and compile reports for us. We only use this information for our internal analysis to improve the content and usability of our services. We do not allow Google to use this data for their own purposes beyond providing the analytics service to us. If you wish to opt out of Google Analytics tracking, Google provides a browser opt-out add-on that you can install, or you can decline analytics cookies via our cookie consent tool.
YouTube and Embedded Content: Some pages on our site may include embedded content, such as YouTube videos (from our YouTube channel) or social media widgets. These third-party services may set their own cookies or use similar tracking technologies when you interact with them. For example, playing an embedded YouTube video on our site may allow Google/YouTube to collect information about your view (such as your IP address and YouTube account if you’re logged in). We do not control these third-party cookies. Please refer to the privacy policies of those services (e.g., Google’s Privacy Policy for YouTube) to understand their data practices. If you prefer, you can choose not to play these videos or use browser extensions to block third-party content.
For more detailed information about the cookies we use and your choices, please see our separate Cookie Policy.
Third-Party Service Providers
To run our business and provide our services, we rely on a number of trusted third-party service providers. These third parties process data on our behalf and are bound by contracts to protect your information and to use it only for the specific purposes we’ve agreed with them. We do not allow these service providers to use your data for their own marketing or any purposes not instructed by us. Below are the key third-party tools and services we use, and how they handle personal data:
- HighLevel (GoHighLevel): HighLevel is the platform we use for customer relationship management, marketing funnels, and our membership site (for example, the subdomain go.sellyourservice.co.uk is powered by HighLevel). When you enter information on our landing pages or sign-up forms, or when we store your contact details for email campaigns, that data is stored on HighLevel’s secure servers. HighLevel acts as a data processor for us, meaning they handle personal data on our instructions. HighLevel is a U.S.-based company, but it has committed to protecting personal data in line with GDPR requirements (for example, through compliance with the EU-U.S. Data Privacy Framework and by using Standard Contractual Clauses for data transfers). Your data on HighLevel is encrypted and safeguarded by various security measures. We have a Data Processing Agreement in place with HighLevel to ensure your information remains protected and confidential.
- Mailgun: Mailgun is an email delivery service that we use to send out emails (such as newsletters, marketing emails, or transactional messages like password resets). When we send you an email, your email address and the content of the message are processed through Mailgun’s systems to facilitate delivery. Mailgun may also track interactions with those emails (for example, to record if you opened an email or clicked a link) which helps us understand engagement with our content. Mailgun is based in the United States, and we ensure that any data transfers to Mailgun are protected by appropriate safeguards (such as Standard Contractual Clauses under GDPR). Mailgun does not use your email address for anything other than delivering our emails and maintaining their service. You can unsubscribe from our marketing emails at any time, as noted above.
- WordPress: Our main website (sellyourservice.co.uk) is built on WordPress, which is a popular content management system. WordPress itself does not actively share your data, but it does facilitate the collection and storage of data via our website forms, comments, and cookies. Any information you submit through our website (e.g. a contact form or blog comment) will be stored in our website’s database. We host our website with a reputable hosting provider, ensuring that the data on our WordPress site is stored securely and backed up regularly. We also keep our WordPress software and plugins up to date to protect against security vulnerabilities.
- YouTube: We often share video content via YouTube (a service by Google). If you watch a YouTube video embedded on our site, YouTube may collect data about your viewing through its own cookies or tracking (as mentioned in the Cookies section). For example, YouTube might log that you watched a specific video, along with your IP address and any YouTube account information if you’re logged in. These interactions are governed by Google’s privacy policy; we do not receive personal data about your YouTube viewing, aside from aggregate metrics like view counts. If you interact with our content on YouTube’s website (for instance, by commenting on or liking our YouTube videos), that information is handled directly by YouTube, not by us.
- Stripe: Stripe is a secure payment processor we use to handle credit and debit card transactions. If you choose to pay for a product or service with a card, the payment form will be powered by Stripe or you will be redirected to a Stripe checkout page. Any sensitive payment information you provide (card number, expiration date, security code) is sent directly to Stripe and is not stored on our servers. Stripe then confirms to us if the payment was successful and provides us with details like the amount paid, the last four digits of your card (for reference), the card type, and your name and email. Stripe does not share your full card number or financial details with us. Stripe is certified to PCI-DSS (the top security standard for the payments industry) to ensure your payment data is handled safely. Stripe may process your data outside of the UK/EEA (for example, in the US), but it uses legal mechanisms such as Standard Contractual Clauses to lawfully transfer and protect data. You can find more information in Stripe’s own Privacy Policy on their website.
- PayPal: PayPal is another payment option we offer. If you choose to pay via PayPal, you will be directed to PayPal’s website or app, where you log in to your PayPal account to complete the transaction. We do not collect or store any of the financial information you provide to PayPal (such as your PayPal login credentials or bank/card details linked to your PayPal account). After you complete payment, PayPal notifies us and provides necessary information like your name, email, shipping address (if applicable for an order), and a confirmation of payment so we can fulfill your purchase. PayPal may also share the transaction ID and the payment amount. PayPal is responsible for how it handles your data within its platform; you should refer to PayPal’s Privacy Statement for details on their practices. We treat any personal data we receive from PayPal (such as contact information or shipping address) in line with this Privacy Policy.
- Google Analytics: As described earlier, we use Google Analytics to collect site usage statistics. Google acts as our service provider in this context. While Google Analytics does not give us information like your name or email, it does involve processing of online identifiers (such as cookie IDs and IP addresses). We have configured Google Analytics to anonymise IP data, and we have a Data Processing Addendum in place with Google that requires them to protect the data and not use it for any purpose other than providing analytics to us. Google may process this analytics data on servers outside your country (e.g. in the United States), but they are obliged to safeguard it. If you do not want Google Analytics to be used in your browser, you can opt out as detailed in the Cookies and Analytics section above.
In addition to the above, we may use other tools and services for specific functions – for example, social media platforms to host community discussions or webinar platforms to conduct live training sessions. Whenever we share your data with any service provider, we ensure they are obligated to handle it securely and only for the purposes we specify.
Data Sharing and Disclosure
We understand the importance of keeping your personal information private. We do not sell, rent, or trade your personal data to third parties for their own marketing or any unrelated purposes.
We will only share your personal information in the following circumstances:
- Service Providers (Processors): As explained above, we share information with third-party service providers who assist us in operating our business (such as HighLevel, Mailgun, Stripe, etc.). They are only allowed to use the information as necessary to perform their functions on our behalf and must protect it in accordance with our agreements and the law.
- Legal Requirements: We may disclose your information if required to do so by law or in response to a valid request by a public authority. For example, we might need to comply with a court order, subpoena, or a request from regulators or law enforcement. In such cases, we will only disclose the information that is necessary and will, if allowed, inform you of the request.
- Business Transfers: If our company is ever involved in a merger, acquisition, sale of assets, or reorganisation, your personal data may be transferred to the new owner or successor entity as part of that deal. If such a transfer occurs, we will ensure the new owners are bound to respect your personal data in a manner consistent with this Privacy Policy. We will notify you of any change of ownership or use of your personal data, and inform you of any choices you may have regarding your data.
- Protection of Rights: We may share information when we believe it is necessary to protect our rights, privacy, safety, or property, and/or the rights, safety, or property of our users or others. This could include exchanging information with other companies and organisations for fraud prevention or credit risk reduction. For instance, if you engage in fraudulent or illegal activities on our site, we might share data with law enforcement agencies to address that behavior.
Importantly, any data that we share for analysis or reporting will be anonymised or aggregated so that it does not identify you personally. For example, we may publish trends about our user base (such as the percentage of users from different regions or the average time spent on our site), but this information will not contain anything that can be linked back to any individual.
Data Storage and Security
We take the security of your personal data seriously. We have implemented various measures to ensure your information is kept safe from unauthorised access, alteration, disclosure, or destruction. Some of the key security practices we follow include:
- Secure Hosting: Personal data collected through our site is stored on secure servers. In particular, much of our user data (such as contact details and form responses) is stored in the HighLevel platform, which uses encryption and other security protocols to protect data at rest and in transit. Our website hosting and any cloud services we use also employ security measures like firewalls and intrusion detection systems.
- Access Control: Access to personal data is restricted to those team members, contractors, or service providers who need it to perform their duties. For example, our staff can only access your data on a need-to-know basis (such as to provide support or fulfill an order), and they are bound by confidentiality obligations.
- Encryption: We use encryption technologies to protect sensitive data. When you enter information on our site (such as through forms or during payment processing), we use SSL/TLS encryption to ensure data is transmitted securely between your browser and our servers. (You can usually see a padlock icon in your browser’s address bar when a connection is secure.)
- Maintenance and Updates: We keep our website software, including WordPress and any related plugins or tools, updated to patch security vulnerabilities promptly. We also run regular security scans and monitor for potential threats. Our other tools and platforms (like HighLevel) are also kept up-to-date by their providers to ensure security.
- Backups: We perform regular backups of our data (including website databases and HighLevel records) to prevent data loss. These backups are stored securely and are only accessible to authorised personnel.
- Training and Policies: Our team members are trained on data protection best practices and are aware of their responsibilities to safeguard personal data. We have internal policies and procedures in place to help ensure that your data is handled safely and in accordance with this Privacy Policy.
Despite all our efforts, it’s important to note that no method of transmitting or storing data is 100% secure. The internet is an open system, and we cannot guarantee absolute security of information sent to us or stored on our servers. However, we continually update and improve our security measures to mitigate risks as much as possible.
In the unlikely event of a data breach that affects your personal data, we will notify you and the relevant data protection authorities (such as the ICO in the UK) as required by law. We have a procedure in place to handle such incidents should they occur.
International Data Transfers
Because we serve users around the world and use service providers based in different countries, your personal data may be transferred internationally. Specifically, some of our third-party providers (like HighLevel, Mailgun, Google, Stripe, and PayPal) are headquartered or have servers in countries outside the United Kingdom and the European Economic Area (EEA), such as the United States.
When we transfer your personal data out of the UK or EEA, we take steps to ensure that an equivalent level of data protection is maintained. These steps include:
- Standard Contractual Clauses: We ensure that our contracts with service providers include the standard data protection clauses approved by regulators (such as the European Commission or the UK Information Commissioner’s Office). These clauses legally oblige those providers to protect your data to GDPR-equivalent standards, even when it is transferred to a country that may not have the same privacy laws.
- Data Privacy Frameworks: Where applicable, we work with providers who participate in recognised data transfer frameworks or certifications. For example, as of 2025, some U.S. providers adhere to the EU-U.S. Data Privacy Framework (which is designed to facilitate safe data transfer from the EU to the US). Such participation indicates a commitment to GDPR-level privacy protection. (Note: For UK transfers, similar arrangements or contractual clauses are used since the UK has its own equivalent of these frameworks.)
- Your Consent (in limited cases): In the rare case that we would need to transfer your data to a third country without an adequacy decision or other safeguard, we would seek your explicit consent for that specific transfer and inform you of any potential risks.
You can contact us if you would like more information about the safeguards we have in place for international data transfers.
Please be aware that when you voluntarily communicate with us or post information on our website from outside the UK, you are of course transmitting your data across borders. We treat all users’ data with the same care, no matter where it originates.
Data Retention
We will retain your personal data only for as long as necessary to fulfil the purposes we collected it for, including to satisfy any legal, accounting, or reporting requirements.
In practice, this means:
- If you have an account or membership with us, we will keep your personal data for as long as your account is active and not requested to be deleted. If you decide to close your account or your membership expires, we may retain your data for a reasonable period in case you reactivate or to keep records of your transactions, but we will delete or anonymise it when it is no longer needed.
- If you have subscribed to our marketing communications (emails, newsletters), we will retain your contact information until you opt out or unsubscribe. Once you unsubscribe, we may keep your email on a suppression list (a list of contacts who should not be emailed) to ensure we respect your opt-out request going forward.
- If you make a purchase or transaction, we will keep the details of that transaction for as long as required to process the payment, provide any applicable services or support, and to comply with financial record-keeping laws. For example, UK tax law may require us to keep invoice and payment records for a number of years (typically 6 years).
- If you contact us with a question or support request, we may retain the correspondence (including your contact details and our response) as long as necessary to assist you and for reference in case of follow-up issues. We typically keep customer service communications for a period of time, then securely delete them if they are no longer needed.
- Web analytics data (via Google Analytics) is retained according to Google Analytics’ settings. We might configure this to a certain period (for example, 26 months) and use this data for year-on-year analysis. This data is not personally identifiable and is used only in aggregate form.
- We periodically review the personal data we hold. When the retention period for certain data has passed, or if we determine that we no longer need the data (and no law requires us to keep it), we will either delete it securely or anonymise it (strip out personal identifiers) so that it can no longer be linked to any individual.
In all cases, if you request that we erase your personal data, and we have no legal obligation or overriding justification to retain it, we will make every effort to comply with your request (see Your Rights below for more on the right to erasure).
Your Rights
As a user of our sites and services, you have certain rights regarding your personal data under the UK GDPR (and similar data protection laws). We are committed to upholding these rights. You have the right to:
- Access Your Information: You can request a copy of the personal data we hold about you. This is commonly known as a “Subject Access Request”. We will provide you with a copy of the information in a commonly used format, usually within one month of your request (or a little longer if the request is complex, but we will inform you if an extension is needed).
- Correct Your Information: If any personal data we have about you is incorrect or incomplete, you have the right to have it corrected. You can contact us and ask us to update or rectify any inaccuracies in your personal data.
- Erase Your Information: You can request that we delete your personal data in certain circumstances – for example, if the data is no longer needed for the purposes it was collected, or if you have withdrawn your consent and we have no other legal basis to keep it, or if you object to processing and we have no overriding legitimate grounds to continue. Please note that we may not be able to delete data that we are required to keep by law (e.g., transaction records needed for tax and accounting), but we will inform you if this is the case.
- Restrict Processing: You have the right to ask us to limit the processing of your personal data in certain scenarios. For instance, if you contest the accuracy of the data, you can request we restrict processing (hold but not use) until the accuracy is verified; or if you have objected to our processing (see next point), you can request we restrict use of your data while we review your objection.
- Object to Processing: You have the right to object to certain types of processing. In particular, you can object at any time to the processing of your personal data for direct marketing purposes. If you object, we will stop using your data for marketing immediately. You can also object to processing based on our legitimate interests (as described above). In such cases, we will stop processing your information unless we can demonstrate compelling legitimate grounds for the processing that override your rights or the processing is needed for legal claims.
- Data Portability: For data that you have provided to us and that we process by automated means based on your consent or on a contract, you have the right to request that we provide it to you or transfer it to another service provider, where technically feasible. We will provide the data in a structured, commonly used, machine-readable format (such as CSV or JSON).
- Withdraw Consent: If we are processing any of your personal data based on your consent, you have the right to withdraw that consent at any time. For example, you can withdraw your consent to receive marketing emails by unsubscribing, or withdraw consent for analytics cookies by updating your cookie preferences. Withdrawing consent will not affect the lawfulness of any processing we carried out before you withdrew, and it won’t affect processing under other legal bases (for instance, it won’t stop us from processing a purchase order you made, which we do under contract/legal obligation).
- Complain to a Supervisory Authority: If you believe we have not handled your personal data properly or have breached data protection laws, you have the right to lodge a complaint with a supervisory authority. In the UK, this is the Information Commissioner’s Office (ICO). You can find details on how to report a concern on the ICO’s website. If you are located in a different country, you may have the right to complain to your local data protection regulator as well.
We encourage you to contact us first if you have any concerns or complaints, so we can try to resolve them directly. Your satisfaction and trust are very important to us, and we will do our utmost to address any issues you raise.
To exercise any of your rights, please email us at michael@sellyourservice.co.uk. We may need to ask for certain information to verify your identity before fulfilling your request (to ensure we don’t disclose data to the wrong person). We will respond to your request as soon as we can, and at most within the timeframe required by law.
Children’s Privacy
Our services are aimed at adult professionals and are not intended for children under 18 years of age. We do not knowingly solicit or collect personal information from anyone under the age of 18. If you are under 18, please do not use our websites or provide any personal information to us.
If we discover that we have inadvertently collected personal data from a person under 18, we will promptly delete such information from our records. If you are a parent or guardian and you believe we might have information from or about a child under 18, please contact us immediately at michael@sellyourservice.co.uk so that we can take appropriate action.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, or legal requirements. When we make changes, we will revise the “Last updated” date at the top of this policy. If any changes are significant, we may also notify you by email (if we have your email on file) or by placing a prominent notice on our website.
We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information. Your continued use of our websites or services after any updates to this policy will constitute acknowledgment of the changes.
